Special Events Coordinator

Hours:               Part-Time with varied hours; Academic Year (44 Weeks)

Evenings and weekends as required                       

Salary:               Commensurate with experience

Reports to:       Director of Special Events

Status:               Non-Exempt


SUMMARY:

  • Pre-Event coordination and preparation.
  • Assist in planning event details.
  • Communicate event details to appropriate NEC department(s).
  • Facilitate and support event meetings including producing meeting notes.
  • Manage the events calendar.
  • Compile mailing lists in consultation with the Director of Special Events and other appropriate Development staff.
  • Coordinate invitation mailings. Supervise work study students with mailings as needed.
  • Track RSVPs.
  • Update database on a timely basis.
  • Order rentals and supplies. Obtain relevant AMEX receipts at time of purchase.
  • Assist with event set-ups.
  • Assist with guest registration at events.
  • Supervise work study students involved with event production.
  • Post-Event duties to include assisting with break-down and supervising work study students.
  • Provide administrative support to the Director of Special Events. Generate monthly AMEC reports by establishing due dates.
  • Assist with events-related special projects.
  • Research potential prospects for gala sponsorship and advertising.
  • Other online research as assigned.
  • Other duties as assigned.

QUALIFICATIONS:

  • Bachelor's Degree and minimum of three (3) months of experience required.
  • Ability to work under direct supervision, as a member of a team, as well as independently.
  • Strong organizational skills with ability to manage multiple deadlines.
  • Rigorous attention to detail.
  • Database management experience.
  • Proficiency with Microsoft Office Word, Excel and Outlook.
  • PC platform computers and laser printers as well as typewriters, photocopiers and fax machines.
  • Working experience of PowerCampus is helpful.
  • Supervisory experience is preferred.
  • Professional and personable demeanor under pressure is essential.
  • High level of discretion in dealing with sensitive and confidential information.
  • Flexibility to work nights and weekends as needed.
  • Employee must be able to relate to other people beyond giving and receiving instructions: works well with co-workers or peers without exhibiting behavioral extremes; perform work activities requiring negotiating, instructing, supervising, persuading or speaking with others; and respond appropriately to criticism from a supervisor.
